Cases, scheduling, a doctor portal, invoicing, and a built-in assistant that knows the software — all shaped to the way your lab already works.
Each case type has production steps with real durations — the ones your lab actually hits, not a vendor's average. Enter the appointment and LabFlow walks the steps in reverse, over the days and hours you work, and puts each one on the calendar. Move the date, and the whole schedule moves with it.
Most software shows you what's overdue. LabFlow compares where each case is against where the schedule says it should be today, and flags it ahead, on track, at risk, or behind — then sorts the bench by what matters: behind first, due-tomorrow next, rush after that.
Give it your milling and furnace times — how long a run takes, how many units fit — and it warns you when a day is already over capacity.
Every screen has a built-in assistant that answers from LabFlow's own documentation. It knows which page you're on and what your role is, so a technician and a doctor get different answers to the same question — and it won't invent features that don't exist.
Anything that looks like patient information is caught first and answered on the lab's own machine. It never reaches a cloud model.
No two labs run the same way, so nothing here is locked in. Everything below is editable from Settings, without a support ticket.
Rename, retire, or add your own — each with its own steps, description, and pricing. New case types come with sensible production stages already seeded.
Minutes per step, days before due, work days, hours, lunch, and what your mill and furnace can hold. Change one number and open cases reschedule.
One doctor's crowns can follow different stages than another's. Set them per client and per case type, and each case starts in the right column on its own.
Standard, preferred, DSO, in-house — build as many as you need and assign one to each practice. Per unit, per arch, or flat. Override a single case and it's logged.
Name, color, and order your pipeline stages. QC checklists per case type — when every item passes, the case signs itself off.
Switches hide the QC checklist, implant fields, or file attachments if they're not part of your day. We're an implant lab, so implant system and MUA are there when you want them — and gone when you don't.
Ready on day one: Zirconia Crown · Bridge · Veneers · Implant Crown · Custom Abutment · Hybrid Arch · Surgical Guide · Night Guard · Sleep Apnea Appliance · Denture · Partial · Temporary and fifteen more — or add your own.
Outsource a design and the whole case — patient, prescription, files — appears in the partner lab's LabFlow under your name, billed on their fee schedule. When they finish, their files land back on your case and it moves to Milling on its own. Nobody emails a download link.
We built this for our own lab-to-lab work and use it every week. Ask us about connecting yours.
Referring doctors submit cases, drop STL and CBCT files up to 500 MB, set the appointment, and see their exact price as they type — from the fee schedule assigned to their practice. Notes, photos, and status updates live on the case, not in an inbox.
Doctors never count as seats. Invite every practice you work with.
The price on the case is the price on the invoice. No retyping.
Each practice's price list sets the number — per unit, per arch, or flat — the moment the case is submitted.
One case or a bundle for a client. Stripe invoices with card or bank payment, net 30. When it's paid, the case marks itself paid and you get a ping.
One click renders a letter-size sheet with your logo and a clinical description under every treatment. Hand it to a new doctor.
Monthly consolidation per customer, customers created automatically, invoices sent by QuickBooks itself. Tokens refresh on their own.
Every lab gets its own address, logo, colors, and database — not a logo swap on a shared app.
Provisioned the moment you sign up. Your branding on the sign-in page, dashboard, portal, emails, and printed documents.
Add it to the bench iPad or a doctor's phone. The icon and name are yours, not ours.
Your own database file, your own uploads, your own audit log. Cross-lab access isn't a permission — it doesn't exist.
Every request records who, what, when, and from where — filterable and exportable to CSV.
Admin, technician, doctor. Single-use invite links for staff and for practices. Support can impersonate a user to see exactly what they see.
Databases and files copied automatically, retained for 30 days, with a second copy off-machine.
Priced by the people in your lab. Doctors, cases, and files are unlimited on both.
A lab login — an admin or a technician. Doctors and their front-desk staff use the portal free and never count. Starter includes 3 staff seats; Team is for labs with 4 or more.
Every plan starts with 14 free days. You add a card at signup so nothing interrupts when the trial ends, but nothing is charged until day 15. Cancel before then and you pay nothing.
No. Never. Your lab is provisioned automatically the moment you sign up, and the built-in assistant walks you through setup. Team plans include migration help.
Yes — that's the point. 27 case types ship ready to use; rename or retire any of them, add your own, and set each production step's duration to what it takes in your lab. Board columns, work days and hours, and equipment capacity are all editable in Settings. Change a duration and open cases reschedule.
Yes. Build as many fee schedules as you like and assign one to each practice. Workflows resolve per client and per case type, so one doctor's crowns can follow different stages than another's.
Yes. They appear on your sign-in page, dashboard, doctor portal, invite emails, printed dockets, and fee-schedule PDFs. Nothing on your pages references LabFlow's other customers.
Yes. Each lab runs in its own isolated tenant with its own database, uploads, users, settings, and audit log.
Send a note through the in-app support widget and billing stops at the end of your current period. You keep access until then, and we can export your case and client data on request.
Sign up, get your address, invite your team. Nothing to install, nothing to pay for two weeks.
